Preparing and Sending a Formal Online Offer Letter
After you review a candidate’s application, as detailed in Fun Fact Friday, Volume 8, and complete all required follow-up steps in the selection process, you are now ready to extend an offer to the candidate. An offer for employment can be processed in several ways: verbally, via email, in person, or through a formal online offer letter. In today’s Fun Fact Friday, we focus on extending a formal online offer.

This formal online offer process leverages an integration between SuccessFactors and DocuSign. It allows the designated campus individual to generate, customize, and send offer letters within a single platform. As displayed in the screenshot to the left, when you have the candidate who is in a status of “Ready to Prepare Formal Offer,” select the three dots and click “Send Offer Letter.”

The system enables you to populate an offer letter from various templates and customize the language throughout the body of the letter. The screenshot to the right demonstrates the preview offer letter function to ensure every detail is accurate before the offer letter is sent.

When you choose to send the offer using the “Online Offer with e-Signature” option, the DocuSign integration plays a key role. Once directed to the DocuSign platform, you can easily position the signature and date fields by dragging them to your desired location, as the screenshot to the left displays. The integration provides a smooth user interface for both the hiring team and the candidate. Once you review the document and everything looks correct, click “Send” to deliver the finalized document directly to the candidate.
Upon receiving the email, the system guides candidates through a secure link to access their offer letter. DocuSign enables them to review the content, consider their choice, and act on the offer. If the candidate chooses to accept, it walks them through the process of signing the offer and completing all required fields.

This workflow ensures accuracy and creates a smooth experience for both the hiring team and candidates. It simplifies communication and keeps all necessary steps organized in one place.
User Acceptance Testing Round 2 (UAT2)

Before officially launching the new system for users,the project team performs multiple testing phases to ensure it is ready to go live. One of those is User Acceptance Testing (UAT), which includes two rounds of testing. Round One took place in January; Round Two begins on Monday, March 10 and closes on Friday, March 28.
In Round Two, we are expanding the group to include users with specific business process roles, which allows for more comprehensive testing of the entire recruiting and onboarding experience for employees.
Each test cycle focuses on targeted groups of users, offering a crucial opportunity to navigate actions within SuccessFactors. This process involves stakeholders actively testing the system to verify if the features meet their business needs and expectations, ensuring the product’s readiness for operational use.
